Moving a Claim (or Incident) to a Different Company or State Scheme

If you have a claim (or incident) which has been assigned to the incorrect company or scheme, it is important to ensure that the claim be reassigned to the correct employing entity and state scheme as it will impact reporting and the policy to which the claim can be assigned.

The company/scheme to which a claim is assigned is set by the 'worker profile' to which it is linked. Therefore, in order to move the claim to a new company/scheme, the worker's profile must first be recreated with a new Cost Centre under the correct company and scheme.

1. CREATE WORKER PROFILE WITH COST CENTRE IN CORRECT COMPANY/SCHEME

In the PEOPLE area, find the worker's profile with the incorrect cost centre and select Clone.

In the Clone Employee window, select the x button next to the cost centre name to remove the incorrect cost centre. Then search, browse or create a new cost centre with the correct company/scheme. Select Add to finish creation of cloned employee.

*OPTIONAL* The older worker profile can now be moved to the Archived tab by selecting Archive. This will make reassigning the claim easier. Archived profiles can then be deleted.

*NOTE* Do not delete older worker profile before reassigning claim, or any linked incidents/claims will be deleted along with the worker.

2. MOVE CLAIM TO WORKER PROFILE IN CORRECT COMPANY/SCHEME

Open the Edit Claim area of the for the worker in question, and select Move to a different company or scheme.

In the Move To Company/Scheme window, search or browse for the new worker profile in the correct company/scheme, and select Move. If the claim has been assigned a company-specific Location, you will be prompted to select a new location too.

*NOTE* If claim is to be moved to a new scheme, you will receive a warning about the loss of scheme-specific information.

The claim will now be linked to correct worker profile in the correct company/scheme. The old worker profile can now be deleted if no other incidents/claims are assigned.
